Judges Information and Instructions

  • In preparation for the day of judging, abstracts for both the ORAL and POSTER Presentations can be viewed here before El Dia. Please review these abstracts to familiarize yourself with the presentations before El Día, giving you more one-on-one with students to ask questions the day of.  Rubrics for each student will be prepopulated with the student's information and printed out for you to use the day of El Día.  You can familiarize yourself with the rubric score sheets in the accordion below.

  • View the Video Instructions for using Rubrics Score Sheets prior to El Dia.  

  • Valuable Information to Include - We ask that when judging your sessions, that you included as much feedback on your rubric score sheets.  Write as much information and data that you can on your rubrics sheet.  After El Dia, we ask that you input your scores and comments into a google doc, which will be provided to you by email, no later than the Monday after El Dia.  This information is invaluable as it is used for the following:  1) your data is reported back to the students as constructive feedback; 2) this information is used for our department annual program review; and 3) this information is reported back to the graduate college as our assessment learning outcomes. 

  • Go to Event Registration to register as an attendee of El Día as a judge, that way you can also select your lunch preference, which is also free.

Oral Judge Schedule
  • 8:00 - The event starts with continental breakfast.  Click here for the day’s agenda. 
  • 9:00 - Orientation for Oral Judges in Judges Room ENR2 building Room S120B
  • 10:00 - Oral Presentation Session (1 of 3) starts in S107.  
  • 11:00 - Coffee Break in Courtyard
  • 12:00 - Lunch provided for all our judges.  Register here and select your lunch.  Registration is free.
  • 13:00 - Oral Presentation Session (2 of 3) starts in S107
  • 14:00 - Coffee Break in Courtyard 
  • 15:00 - Oral Presentation Session (3 of 3) starts in S107
  • 16:00 - Return to Judges Room (S120B) to deliberate and tally your scores for final selection of winners.
  • 17:00 - Presentation of awards - Attend if available.
  • 18:00 - El Dia Reception - No Anchovies - Invitation for all who attend El Dia.

First, please make sure you have viewed the Video Instructions for using Rubrics Score Sheets to become familiar with the rubrics scoring.

Please note these 3 important rules:

  • The rubric is a checklist of criteria at different levels of performance for specific categories.
    • Note: Students may hit criteria under a multitude of levels for one category, e.g. demonstrating criteria under both advanced and proficient levels for the category "Scientific Merit and Content of Presentation."
  • Students should not be awarded a score of Less Than 1 on the rubric unless they are severely under-prepared or unprepared.
    • You must assess a student’s performance based on where they are currently in their research. Research that is ongoing and has not yet been completed is NOT a reason to give a score of a 1 (which means Approaching).
  • Students who are still in the process of completing their research have just as much potential to earn scores of 3 (Proficient) or 5 (Advanced) as students who have completed their research. Please see the rubric criteria to determine what is necessary for each level.

 

Uploading Scores & Comments

After El Dia, we ask that you input your scores and comments into a google doc by Monday, March 31st.  We will send you by email the link to the google doc on Wednesday, March 26th, right after El Dia.

This information is invaluable as it is used for the following:  

  • 1) your data is reported back to the students as constructive feedback; 
  • 2) this information is used for our department annual program review; and 
  • 3) this information is reported back to the graduate college as our assessment learning outcomes. 

Your feedback is the most important information we can obtain for the students to:

  • promote improvement and development;
  • highlight strengths and weaknesses;
  • guide behavior and performance for better future results;
  • help students know what they are doing well and areas they could improve;
  • motivates, improves performance supports continued learning.

We are so very grateful for the time and support you give our students and our department.  This is one of the largest displays of our student's' research.  The service you provide as a judge is so important for the development of our student's learning and we are so appreciative of you.  

Rubics will be prepopulated with presenter's name, presentation title, degree program and degree level, and printed upon your arrival to El Día
